Dear Members of Sandalfoot Squire Phase II Association Inc!

We are running a very tight budget. It is very important for our Association that all members pay their dues on time, on the 1st of each month. Assessments become overdue after the 5th day of the month.

As a self-managed association, after cutting down all unnecessary costs and renegotiating all vendor contracts, we were able to reduce the monthly assessment considerably by a third from $305-$340 to $225-$235. This represents a more realistic value for this assessment, considering the fact that our community does not have a gym, nor security, nor offers a special cable packet etc.

The monthly assessment for 2021 was $235.

The monthly assessment for 2022 is $225.

It would have been even lower, but the insurance cost jumped 25% compared with 2021.

Paragraph 7.1(a) of the By-Laws requires the Board to decide what to do with the surplus of funds in the operating account. By offering the 3 to 8 months credits at the beginning of 2021 we reduced the surplus considerably to a value equal with 1.5x of the current operating costs. This means that if suddenly no assessments would be paid, we’d have money to cover the costs for 1.5 months. Hence, there will be no credits for 2022 as we’d risk running out of money, or needing a special assessment in the middle of the year.

All these savings were made possible because the Association is being self-managed. As the self-management in itself is being managed by volunteers, we have created a very streamlined system of funds collection and communication in order for the volunteers to use as little personal time and effort as possible.

Going forward, please follow the instructions below to pay your monthly assessments. If you’d like us to help with any of the tasks below, please fill out this form and we’ll set up the payments for you.

1. Please log into your Buildium account to set up a new recurring payment for $225 instead of $235, starting with January 1st 2022.

You’ll be able to make secure electronic (recurring or one-time) payments using your checking account or with a credit card. The payments made from your checking account are free. The payments made with a credit card will be charged a 2.95% fee by the credit card processor.

If you have already set up a recurring payment through your Owner Portal, you will have to edit it to reflect the new monthly assessment at $225. Go to Payments > Scheduled payments > Edit, and you will be able to update the amount, change the bank account and or select a new date for the payment. Please note that the monthly assessments are due on the 1st of the month and overdue after the 5th of the month.

2. BillPay checks, personal checks, or money orders

We’ve been instructed by the insurance broker to stop handling any such payment instruments. It appears this liability is not covered by the insurance. Henceforth, we’ll not be processing any checks whatsoever mailed to the Association PO Box address.

However, if you really want to pay your monthly assessment with a check, instead from the comfort of your house, then of course that would be possible, but you’d have to deposit the check at Wells Fargo yourself. Please get in touch with us so that we can provide you with the Operating account details for your specific building.
